The cooperation between Pinja and Veolia started in 2016, when the Novi by Pinja maintenance system was acquired. The acquisition ended up in Novi because it supports both day-to-day operations and long-term planning. In addition, usability is good.

Ease of use and scalability are basic requirements for the system

According to maintenance manager Juha Kujala, Veolia chose Novi because the system supports both daily operations and long-term planning. In addition, the system is easy to use.

Our priority is efficient and profitable maintenance. We ensure and safeguard the reliability of the plant, and report and use data collected from the field to improve operations. The system must adapt to support these objectives, Kujala summarizes.

In addition to Veolia’s own staff, maintenance is carried out by a number of service providers in various roles. As there are many users, it is important that the system is easy to use and flexible. The whole maintenance staff must be able to use the system easily to support their daily work. 

According to Kujala, Novi’s strength lies in the flexibility and scalability of the system to meet the different needs.

Novi is based on maintenance processes and their implementation. It is designed to support and facilitate the daily activities, not to create more work or tasks. 

Novi is a critical cornerstone of maintenance

Veolia has harnessed the system to serve a wide range of needs. In addition to daily work management and reporting, the system is used to manage maintenance inventories, purchase orders and work permit processes.

In maintenance inventory management, all maintenance material information is managed in Novi. In the event of a device failure, employees can see directly from the device information what spare part is needed, whether it’s in stock, where to find it, or even what the part looks like. The cost of spare parts and purchases of non-title items are allocated to maintenance work. These, combined with hourly reporting of work, enables reporting of the total cost of maintenance, which is carried out and developed using Power BI. 

The dialog between maintenance and production is facilitated by Novi Logbook. The purpose of the logbook is to serve as a record of the daily operations of the plant, and to enable production staff to report any faults or observations they may have with the equipment to maintenance. According to Kujala, the logbook has been warmly welcomed, especially by operators, for whom the enhanced communication means faster and more transparent response to maintenance or failure situations. The importance of the logbook is particularly highlighted in the energy industry, where documentation of daily operations plays a major role. 

A condition monitoring system is also in place for carrying out maintenance and inspection routes, both by operators and maintenance staff. The separate condition monitoring system is integrated into Novi.

In Kilpilahti, the management of contractors is also exceptionally good. Contractors are active in the typical daily activities of energy utilities, performing such tasks as pipe work, valve maintenance or scaffolding. In Veolia’s model, partners report hours worked to Novi using an hourly reporting addon, which allows for more accurate reporting of labor costs, and a process for approving hours for supplier billing.

In the energy sector, the emphasis is on uninterrupted production

According to Kujala, measuring and developing effective and goal-oriented maintenance requires KPIs that are suitable for the organization. In the energy sector, availability and uninterrupted production are particularly important objectives. The success of the objective is essentially determined by the economy, i.e., how much the organization is willing to invest in maintenance and development.

Kujala says that there will be a culmination in the role of maintenance and the planned nature of operations in the future.

Whether it’s annual maintenance or maintenance in general. Whether it is corrective maintenance or preventive maintenance, I believe that planning will become even more important in the future.

The drive towards more planned and strategic delivery will place demands on the system, and it must be able to support a wider range of needs in the future.

Veolia has set a future goal, where the entire maintenance system can be managed as a single system, and maintenance reporting can be developed to support daily management. For example, it must be possible to associate costs with the works at the design phase.

– Works that are planned to be done should be clearly visible in the system, and it is decided together with production how and when the work is done. The aim is that the costs of all work carried out in the future will be allocated to the targets for which the work has been done.

The system must also be able to provide an estimate of the time spent on the work, so that the level of planning and implementation of the work can be monitored and measured, and it must be possible to estimate how much the maintenance organization will be burdened with, for example, annual maintenance work. A prerequisite for success is the ability to predict and anticipate the future.

According to Kujala, a good partner is a competent and professional partner. An open dialog between the client and the service provider ensures a common vision.
